Most people notice their residence card expiry date about a month out — and that’s when the stress kicks in. The good news: the situation is manageable if you move quickly. But there are a few things worth knowing before the deadline arrives, not after.
When To Start the Renewal Process?
One rule covers everything here: submit your new application before your current card expires. Polish immigration law allows you to file while your card is still valid — and once you do, your legal status automatically continues until a decision is reached.
That said, waiting until the last week is a bad idea. From our experience, the right time to start preparing documents is 3–4 months before expiry. In major cities, appointment slots at the Urząd Wojewódzki fill up fast — in Warsaw, the wait for a first available date can stretch to 2–3 months.
What Happens After You Submit Your Application?
Once you file before your card expires, the Urząd stamps your passport. That stamp confirms legal presence in Poland even after the old card runs out. With it, you can:
- Continue working without interruption
- Cross the border and return
- Access healthcare and public services
- Stay in Poland legally until the decision arrives

Should You Change Your Legal Ground at Renewal?
Renewal is a good moment to reassess. If your circumstances have changed — new job, different employer, marriage, studies — your current ground may no longer be the best fit or may no longer apply at all.

Common Mistakes at Renewal
- Waiting until the last week. No appointment available, no time to gather documents — and the card expires before anything is submitted.
- Changing employers without notifying the Urząd. If your card is work-based, switching jobs without informing the office can lead to the card being cancelled.
- Forgetting to update the registered address. Moved to a different voivodeship but still filing with the old office — that’s grounds for rejection at intake.
- Submitting an incomplete document package. The Urząd returns the file, time passes, and the card expires in the meantime.
